In recent projects, Octupus has increasingly worked with document digitalisation and AI-driven pattern detection, helping clients extract and interpret data from a variety of document types. One such project involved automating expert-report analysis for a client that needed to review large volumes of complex documents on a recurring basis.
These expert reports often spanned multiple pages, required KPI comparison and demanded precise validation. Manual review took hours, creating bottlenecks and limiting scalability. To deliver the speed and reliability their client required, Octupus needed a document processing platform capable of handling high-complexity documents while integrating seamlessly into their existing applications.
The challenge: automating a full-day review workflow
Before implementing Invofox, Octupus's client spent around eight hours manually reviewing expert reports, making the analysis process slow and difficult to scale.
Reviewing these documents required manual inspection of PDFs, identification of KPIs and validation of extracted information — all of which took significant time.
The team evaluated other OCR and AI tools, including Mindee, but found that those solutions were better suited to simpler use cases and offered limited human support for more complex projects.
For this project, accurate extraction and clear visibility into where key information appeared within each document were critical, since the extracted data fed directly into further analysis and calculations.
To meet their client's needs, Octupus required a solution that could:
- Deliver fast and accurate extraction on complex documents
- Support the review of at least 200 expert reports per month
- Integrate directly into their existing Node.js applications

Octupus's client went from spending a full workday analysing expert reports to receiving results almost instantly.
They tested analysing five or six reports in parallel, and in under ten seconds they already had results. The difference is enormous.
200 reports per month processed with ease
Invofox now handles the extraction layer — the slowest part of the previous workflow — while Octupus adds business logic, calculations, comparisons and summaries.
No need to open PDFs again
One of the wins was Octupus's custom KPI coordinate-mapping layer:
- They used Invofox extraction to detect fields.
- Then built logic to pinpoint where in the PDF each KPI appears.
- The system highlights potential inconsistencies and allows users to confirm matches.
- Clients no longer download or open the PDF.
This gives end users clear visibility without manually reviewing PDFs.
A scalable system ready for future clients
With a robust, scalable integration in place, Octupus plans to continue using this architecture for future clients with advanced document processing needs.
A partnership that enables growth

With their current project already generating revenue and running in production, Octupus plans to:
